studioSHAPES is a Chicago-based creative house, recording studio, and membership ecosystem. We respect the privacy of our members, collaborators, applicants, and visitors. This policy explains what information we collect, how we use it, and the rights you have.

This policy applies to studioshapeschicago.com, the studioSHAPES member operations dashboard hosted at studioshapes-operations.netlify.app, and any related services we operate.


1. Information we collect

We collect only what we need to operate studioSHAPES and serve our members.

When you submit an inquiry to become a member:

  • Name, contact information (email, phone, social handles)
  • Information you choose to share about your work, goals, and creative practice
  • Inquiry source and any notes you provide

When you become an active member:

  • Profile details you provide and choose to share with the community (preferred name, artist name, pronouns, biographical info, social and music platform links)
  • Membership tier, status, and add-on collaborator assignments
  • Studio session history (date, room, hours used, service type, who you worked with)
  • Payment status for membership fees (we do not store credit card numbers — payments are processed by third parties)
  • Communication and support requests you submit through the dashboard

When you authenticate:

  • Email address
  • Encrypted password (managed by Supabase Auth — we never see or store the plaintext)
  • Authentication session tokens
  • Basic device information from your browser session

When you use the studioSHAPES dashboard:

  • Pages you visit and actions you take within the app, for the purpose of operating features and improving the product
  • Any content you upload or input (notes, descriptions, requests)

When events involve Google Calendar sync:

  • The studioSHAPES service writes session and event details to a studio-owned Google Calendar so members can see their schedule. We use a single studio-controlled Google account (studioshapesghost@gmail.com) for this. We do not access any individual member's personal Google account.

2. How we use information

We use the information we collect to:

  • Operate the studioSHAPES membership program — schedule sessions, track hours, route assignments, and coordinate collaborator payouts
  • Authenticate members and protect access to the dashboard
  • Communicate with members about their account, sessions, and studioSHAPES news
  • Respond to support requests and inquiries
  • Maintain accurate records for billing and legal compliance
  • Improve the studioSHAPES experience over time
  • Detect and prevent abuse, fraud, or violations of our terms

We do not sell your personal information to anyone. We do not share it with advertisers. We do not use it to build profiles for marketing outside of studioSHAPES.


3. Who can see what inside the dashboard

The studioSHAPES member dashboard is built around tiered visibility:

  • Public-facing inquiry forms are seen by studioSHAPES administrators only.
  • Admin and staff views are accessible only to members who have been granted administrative privileges.
  • Member views show your own information, sessions you are involved in, and roster entries that have agreed to be visible.
  • Sensitive contact information (email, phone) is gated by relationship. Admins see what they need to operate the studio; other members see only what individual members have chosen to share.
  • Internal events and meetings are visible only to admins and to people explicitly invited.

We have engineered the system to default to less visibility, not more. When in doubt, things are hidden.


4. How we share information

We share information only in narrow circumstances:

  • With service providers we use to run studioSHAPES. This includes our hosting and database provider (Supabase), our content delivery network (Netlify), our calendar provider (Google), and any payment processors. These providers are bound by their own privacy obligations and may not use your information for their own purposes.
  • With other members of studioSHAPES when you choose to share information through your profile, when you participate in sessions or events with them, or when administrators add you to a roster, assignment, or invitee list.
  • When required by law, such as a valid subpoena, court order, or government request. We will resist overly broad requests where appropriate.
  • In connection with a sale, merger, or restructuring of studioSHAPES, in which case any successor would be bound by this policy.

5. Data retention

We keep member information for as long as you are an active member, plus a reasonable period after for our records, financial reporting, and legal obligations. If you leave studioSHAPES, you can request that your account be deactivated and personal information be removed; we will honor that request to the extent we are not required to retain certain records.

Inquiry records may be retained even if you do not become a member, so we have context if you reapply or contact us later.


6. Security

We use industry-standard security practices:

  • All authentication is handled by Supabase Auth, which encrypts passwords and uses secure session tokens
  • All web traffic is served over HTTPS
  • Database access is gated by row-level security policies that enforce who can see what
  • Administrative access is limited to a small number of trusted operators
  • We log significant administrative changes for accountability

No system is perfectly secure. If we discover a breach affecting your information, we will notify you in a timely manner.


7. Your rights

Depending on where you live, you may have rights including:

  • Access — ask us what information we have about you
  • Correction — ask us to fix inaccurate information
  • Deletion — ask us to remove your information, subject to records we are legally required to keep
  • Portability — ask us for a copy of your information in a machine-readable format
  • Objection — ask us to stop using your information for specific purposes

To exercise any of these rights, email us at the address in Section 11. We will respond within a reasonable time.

If you are a California resident, you have additional rights under the California Consumer Privacy Act. If you are in the European Economic Area, the United Kingdom, or other jurisdictions with similar laws, you have additional rights under those laws. We honor those rights as applicable.


8. Children

studioSHAPES is intended for adults who are pursuing creative work professionally. We do not knowingly collect information from children under 13. If you believe we have collected information from a child, please contact us so we can remove it.


9. Cookies and similar technologies

The studioSHAPES dashboard uses cookies and browser storage to keep you signed in, remember your preferences, and operate features. We do not use third-party advertising cookies. We do not track you across other websites.


10. Changes to this policy

We may update this policy as studioSHAPES evolves. When we do, we will update the "Last updated" date at the top. For significant changes, we will notify members through the dashboard or by email.
